Your objectives and responsibilities:
  • Securing smooth operation of the reception, answering phone calls, identifying, welcoming and taking care of the incoming guests, preparing small refreshments for meetings and trainings.
  • Securing smooth operation of the office, supervising cleanliness of the meeting rooms and the office, building maintenance coordination, orders of stationery supplies and refreshments.
  • Travel and accommodation arrangement - arranging accommodation, flight and train tickets in cooperation with the travel agency in order to achieve the best possible cost efficiency, reporting, securing the workflow of invoices.
  • Support of fleet management, hand over pool cars to drivers, take care of pool car maintenance, seasonal tyre change, administrative tasks connected to fleet management.
  • Securing information flow of incoming and outbound post, parcels, communication with stores of all brands and stamps.
  • Applies a “less is more“ mindset in managing budgets and resources.
  • Proactively looks for functional best practices, spreads knowledge, experience, findings and provides constructive inputs to support the superior in creation and roll-out of the departmental strategy/agenda.
  • Is an example of high performer properly impacting department goals and strategy.
Your skills & experience:
  • 1 year of experience in an administrative role
  • English language - Advanced level
  • Bachelor’s Degree
  • Fast-learner, with ambition for growth
  • High level of organizational and time management skills
  • Capacity to work independently and decision making abilities
  • Strong communication skills
  • Highly adaptable person
