Candidatul Ideal

  • Bachelor’s degree. A Law degree is not required, but preferred;
  • Fluency in both written and spoken English is essential. Knowledge of 1 more EU language is preferred (German, Dutch, French, Spanish, Italian);
  • 1+ years of experience with managing various types of corporate secretarial work and/ or business administrative tasks. Familiarity with basic legal concepts and with legal documents such as powers of attorney is required;
  • Skills in data collection, data analytics and statistics;
  • Confident self-starter, self-motivated;
  • Strong organization skills and time management skills;
  • Meticulousness and attention to detail, high work ethic;
  • Strong communication skills (written + use of Zoom and other communication platforms);

Preferred (not required)
  • Experience with legal case management/ experience as a legal assistant in an in-house team or a law firm;

  • Experience working in an international environment;
  • Experience working with stakeholders across different teams/ functions;
  • Confidence working with Google Suite (Google Sheets, Google Docs, Google Drive);
  • Experience with common business platforms such as Jira.

The CoE Legal and Public Affairs Services team is looking for a legal assistant to be a core contributor to this journey. The legal assistant will be responsible for a variety of corporate secretarial tasks and business support activities for various teams in LPA including intensive communication and engagement with internal and external stakeholders. A successful candidate will display strong organization skills, communication skills and a customer-centric mindset, is self-motivated, has a strong sense of ownership, accountability and follow-through, and the ability to work efficiently with teams across various functions.
Experience working with Legal teams or a background in Legal is required.

Key Job Responsibilities and Duties:
Document drafting and document tracking
  • Drafting, reviewing and obtaining signatures for various corporate documents such as organization charts and powers of attorney, related communication with internal stakeholders to drive completion.
  • Reviewing and responding to data requests, assisting with disclosures of data in collaboration with internal stakeholders.
  • Reviewing and actioning regulatory forms received from various business units, such as related to AML and KYC checks, and, where required, coordinating responses.
Record keeping and related data analysis
  • Keeping accurate legal and corporate records by integrating regular status reports from internal stakeholders, running checks for outdated or incomplete data and updating records accordingly, preparing related self-help tools for internal stakeholders to improve data accuracy.
  • Generating legal data and statistical insights based on the existing corporate records.
  • Updating litigation logs, including coordinating with and obtaining engagement from internal stakeholders.
  • Acting as the main point of contact for internal stakeholders such as Finance and Accounting teams, for providing litigation information for various corporate entities.
  • Providing support in the automation of corporate records and related change management that includes addressing related questions from internal stakeholders.
Performing general corporate office tasks
  • Reviewing and responding to internal requests from the business for corporate documents of the various Booking.com entities, including the coordination of document notarisations by external notaries.
  • Registering updates to corporate entity office addresses in internal records and managing external registrations with support from external service provider.
Coordinating other legal and administrative tasks
  • Coordinating the execution of agreements and legal charters, obtaining related approvals and engagement from internal stakeholders.
  • Identifying internal stakeholders who are potentially eligible to sign agreements and legal charters and working with them to meet eligibility criteria.
  • Providing support in the development of company policies and guidelines,, and generally integrating updates to policies and guidelines.
  • Providing support in the management of legal holds, including issuing holds using our in-house e-discovery software, fielding queries and ensuring acknowledgements from relevant internal stakeholders are obtained.
  • Working with internal and external stakeholders to maintain a litigation tracker of key disputes monitored.
  • Maintaining a list of preferred external counsel for each office with contact details.
  • Coordinating meetings and training sessions for internal and external stakeholders, and creating slide decks for legal training sessions.
Stakeholder management
  • Communicating regularly and effectively with a wide range of internal stakeholders including the Corporate and Commercial team, the Litigation team and the LPA Operations team within the Booking.com Legal and Public Affairs department, as well as external stakeholders (law firms, notaries etc.).
