Job Description

Role:
The main responsibility of this role is to manage the process between ordering and delivery of vehicles to the end customer and to provide support for the truck salesman position. This is achieved by working in a structured methodical way adhering to defined processes and procedures. Organisational skills are essential as many activities are deadline driven. Focusing on communication with internal and external (e.g. suppliers, other departments, etc.)

Responsibilities:
  • Provide administration support as part of the sales team to ensure the smooth, efficient, and accurate preparation for allocation of a customer order.
  • Ensure sufficient information (e.g. financing, sales agreement) is gathered and documented to fulfil prerequisites needed to allocate a customer order
  • Collate required documents, create and maintain a vehicle order pack for each and every order
  • Provide administration support as part of the sales team to ensure the smooth, efficient, and accurate preparation for delivery of vehicles to specific deadlines
  • Receive, collate and process purchase invoices from the workshop and third party suppliers, and allocate them to the correct vehicle order
  • Provide SRO company details to suppliers, check invoices.
  • Handle vehicle purchse and sales invoices in sales systems
  • Check and approve supplier invoices
  • Order transport for purchased vehicles
  • When vehicle arrive check all documents are in place
  • Upload info in Auto do
  • Make sure we have all papers stored and collected for each chassis, so in case of audit we can provide all documents needed for different type of deals.
  • For used vehicles returned with RVG inform Dekra this unit needs to be evaluated
  • Update the status of the stock list, for any incoming, transported, reserved and available vehicle for sell.
  • Send information to salesman for leads from CRM
  • Prepare stock report weekly
  • Prepare reports for Market share monthly
  • Calculate commissions
