Ideal Candidate

We are looking for a highly organized and proactive Administrative & Coordination Assistant to support our Property & Expansion team in the retail sector. This role is a blend of administrative support, coordination, and back-office operations, ensuring smooth execution of real estate expansion projects, lease administration, and retail property management. The ideal candidate will also assist in creating presentations and reports, managing documentation, and coordinating with internal and external stakeholders.

Qualifications
  • Education: Bachelor’s degree in business administration or a related field (preferred).
  • Experience: 2+ years in administrative, coordination, or back-office roles within retail, real estate, or property management.
Skills:
  • Strong organizational and multitasking abilities.
  • Excellent communication (written and verbal).
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) – experience with database management is a plus.
  • Ability to create professional presentations and reports.
  • High attention to detail and ability to work under tight deadlines.
  • Retail industry experience is an advantage.

Job Description

Key Responsibilities:

Administrative & Back-Office Support:
  • Provide comprehensive administrative support to the Property & Expansion team.
  • Handle document management, including lease agreements, contracts, and property-related files.
  • Maintain and update property and expansion databases, tracking lease terms, renewal deadlines, and expansion progress.
  • Assist in preparing, formatting, and proofreading contracts, reports, and business correspondence.
Coordination & Communication:
  • Act as a liaison between internal teams (Legal, Finance, Operations) and external partners (landlords, brokers, contractors).
  • Organize and schedule meetings, property visits, and site inspections for the Property & Expansion team.
  • Follow up on tasks, deadlines, and project deliverables, ensuring efficient workflow.
  • Handle email correspondence and inquiries related to leasing, property management, and expansion.
Presentation & Reporting:
  • Create PowerPoint presentations and visual reports for property expansion proposals and executive meetings.
  • Prepare financial and market analysis reports related to potential store locations.
  • Gather and analyze property data to support decision-making in the expansion strategy.
Property & Expansion Operations Support:
  • Assist in site selection research, gathering information on potential retail locations.
  • Support lease negotiation processes by tracking terms, conditions, and legal requirements.
  • Monitor store opening timelines and coordinate with cross-functional teams to ensure smooth execution.
