Job Description

Responsibilities
  • Office tidiness – checklists use (scan to be sent to reporting level every morning), helpdesk requests to follow up
  • Security - be able to address day to day security issues if needed to the given contacts and report daily/weekly/monthly
  • Goods-In: Responsible for ordering products on office/facility manager requests and check-in deliveries
  • Provision of a quick and efficient delivery service to all staff in the office
  • Suppliers issues to follow
  • Video Conferencing - Set-up and initiate video conference calls for the site if needed.
  • General Facilities: Very good communication with the client
  • Provide assistance to contractors and visitors whilst on site
  • Dealing with incoming calls from internal customers and/or external contacts.
  • Dealing with incoming and outcoming post mails, courier deliveries acc. to registration procedures
  • Deliver contractor induction requirements while maintenance on site
  • Assist Office/Facilities Manager with Asset tagging on Site
  • Arrangement of furniture and accessories for all meetings requested
  • Cooperation with the building administration (claims, problems with electricity, A/C, water, toilets etc.)
  • Tracking the annual Purchase Orders and the invoices re. due date with the financial department
  • Close cooperation with office/facility manager and following the requests of the supervisor, the managers of the supervisor and the company representatives. Weekly reports about operational tasks to be sent to the supervisor or to the managers of the supervisor or the company representatives when requested
  • Accomplish the tasks what his/her line manager and managers above entrust with.
  • Safety - as part of CBRE Facility Team support in the Health and Safety actions, audits, systems evacuation procedures knowledge and ability to support in coordination with building security as well as the evacuation procedures to be delivered to the tenants. Reports delivered by CBRE and client system.
